1,300+ BoQ line items — as trackable tasks with quantity, price and value. The site report is read from the system, not assembled from 18 Excel sheets.

From 18 Excel sheets — to a single source of truth.

Mega Gips delivers large public and private projects — including multi-building complexes commissioned by various municipalities. The commercial backbone of every project is the bill of quantities: each line item with a quantity, unit price and total value.

The bills of quantities lived in multi-sheet Excel files — a single real project spread across 18 separate sheets for buildings, electrical, HVAC and plumbing. No tracking of progress per line item, no shared source between the office and the sites, and a growing pile of scanned paper invoices outside any system. We built an Odoo 19 environment that changes this end to end.

A bill of quantities that lives in the system.

Two large construction sites are digitized line by line in Odoo Projects — over 1,300 tasks, each carrying the quantity, unit price and value of its original line item, organized by the structure of the workbook: building sections and installation types.

The data is carefully reconciled against the source files — identical work descriptions in different buildings are preserved as separate, trackable tasks, and the original Excel spreadsheets are attached to the projects, one click from the live data.

Client feedback

“Site progress is read from the system — down to an individual section or installation — using the same figures the office quotes and invoices with.”
— The Mega Gips team

One system for the whole business.

The backlog of scanned supplier invoices was run through OCR — the recognized documents are uploaded into the accounting inbox of Odoo Documents with a review report, ready for validation and posting.

Around the sites, we configured a full ERP/CRM environment with demo processes for sales, purchases, invoicing, helpdesk and subscriptions, e-learning for the team, and a Bulgarian-language manual with annotated screens from the client's own data.

The results — before and after

Every BoQ line item is a trackable task with a status and value — and site progress is reported in real time using the same figures the office quotes and invoices with.

Before implementation

Spreadsheets and paper

  • BoQ in multi-sheet Excel files — 18 sheets for one project
  • No tracking of progress per individual line item
  • Diverging copies between the office and the sites
  • A growing pile of scanned invoices outside any system

With Odoo 19

Live site management

  • 1,300+ line items — tasks with a status and value, entered once
  • Site reports in minutes — down to section and installation type
  • Overruns visible at the line-item level — while they can still be corrected
  • ~80% faster invoice entry via OCR
